Qsales v13 is here, and it's worth the wait. Keystroke's new Qsales v13 seamlessly integrates your Act! and Quickbooks applications together to give your whole team the account visibility they need to be more productive and informed. Having the data to see contacts as customers allows users to understand the value of an account at an instant, including their account status, product preferences, payment patterns, and even the volume of business from year to year.
Qsales allows users to respond to urgent customer needs quickly by recording payments or generating new transactions from inside of Act!. And the Overdue Toolbar Utility warns users of past due accounts, helping to avoid further credit risks with that client.
Unlike past versions, though Qsales v13 only needs one QuickBooks license for all Act! users, and allows them to create, edit, & view transactions from within Act!, without needing QuickBooks locally installed, or even open.

New to Act? Use our Qsales setup wizard to create a new database that is fully populated with all your QuickBooks customers & vendors the first day you use it. Our "Link & Sync" wizard creates the contacts in Act! with the accounting links in one step.
If you're not new to Act!, and implementing Qsales into an existing Act! database, you can use our "Link & Sync" Wizard to link all of Act! contact records to either QuickBooks customers or vendors, and be able to edit both of them inside of Act!
With the QB Transactions Tab in Act!, users can see a customer's entire transaction history without looking in QuickBooks.
Qsales imports the QuickBooks transactions (invoices, estimates, payments, etc.) into Act!, allowing users to see them under a specific contact. Not only can an Act! user quickly see all of the transactions for a specific customer, they can also drill down into a specific transaction to read the details. All without having QuickBooks on their PC.
Users can also pivot to a global view to see all the transactions for the company, allowing them to easily gain insights by filtering by date range, sales rep, amount, class, or what have you.

Frequently Asked Questions
Prior to Qsales v13, for Act! users to view customers transaction history, they'd all have to have a QuickBooks license. This could easily add $400-1000 in license cost per user. Qsales v13 connects all users to the QuickBooks data through one user account, meaning a business can provide everyone access to vital accounting details for the cost of one QuickBooks license.
We've built a step-by-step wizard, as well as provided instructions HERE, but it is more involved than past upgrades. Simply put, the data structure is completely different from past versions, so all old transaction data must be wiped, and the field builder utility must be run again to create the new custom tables. Also, you'll have to configure the new Qsales API to connect to QuickBooks.
As you can see from the illustration below, the API settings allow you to assign different access permissions to each Act! user.
For the most part, it is an offline connection, but local or network users can click "Refresh Data from QB" and get up to the second data. Remote users with RDB's must use the Act! sync to update the transactions.
Qsales can be configured to allow remote users to connect to the QuickBooks data via the Qsales API. Naturally, this API must be Internet-facing for remote users to access it, but the API is password-protected, and the password is remotely sent during the first Act! sync.
Using a VPN is a great way to provide Qsales functionality to remote users, but it is not required if the API can be accessed across the Internet.
For the most part yes, but there is one exception and that is "refreshing data from QB".
To avoid duplication of data, this feature is automatically disabled for RDB users. The reason is the transactions are all stored in QuickBooks custom tables, and while each transaction is assigned it's own unique ID to avoid duplicates, the custom table entry has it's own unique ID, and it's the latter that Act! syncing pays attention to.
In other words, Qsales will have a local and remote record of one transaction with the same ID, but Act! will think they're different records because they each have unique custom table ID's, causing the Act! syncing process to create duplicates.
Not a lot. The current cost for M&S per user is 30% of the old Qsales list price, which calculates to approximately $48/user/year. The new subscription cost is $120/user/year, but all current customers get grandfathered in at half the new rate.
In other words, your cost will increase $12 per user/year.

Qsales connects the 64-bit version of Act! to the 32-bit version of QuickBooks through the Qsales API.
At present, Qsales v13 only works with the desktop version of QuickBooks, which represents the majority of QuickBooks users. That said, we hope to have support for QuickBooks Online before the end of 2021.
Yes you will, but it will be provided free with your current M&S subscription. The reason is the licensing is different with v13 vs v12 because the new license keys are subscription.
The support included with subscription or M&S is email or break/fix only. We have many great support plans that offer turn-key setup service, but those are not part of the software cost.

Given how fundamentally different Qsales connects Act! and QuickBooks, the answer is yes.
The Qsales API connects directly to one QuickBooks data file, so if you used to connect to multiple QB files in prior versions, that isn't supported anymore.
You cannot use mapped drive letters for Act! or QuickBooks because Microsoft doesn't support their use with services or IIS (what the Server API is built with). Qsync is a service, so using a mapped drive would also bork the nightly sync.
We've also run into some customers with multiple versions of QuickBooks installed. Not sure if this was supported before, but it's not now.
- QB Data Tab Get a quick understanding of your customer in one tab. This summary tab displays all the data calculated from the transactions downloaded from QuickBooks, and shows you a month by month breakdown of the last 5-years of sales.
- Qsales Toolbar features This toolbar gives you quick access to time savings features like creating, linking, and editing new customers, as well as creating & looking up transactions.
- QB Transaction Tab This tab displays all the transactions downloaded from the linked QB customer. These transactions can be updated on demand, or from the nightly sync.
- QB Items view This tab allows user to quickly see all the products the customer has purchased in the past, and then expand each one to see all the transactions those product purchases are linked to
- Global Transaction View Seeing all the transactions under one contact is great, but sometimes you need to see all the transactions for the company in one place, and the QB Transactions button on the left side Navbar provides exactly that. Due to the sensitive nature of this data, we also allow you to restrict which users can see this button.
- Editing QB Customers in Act! This API feature is a big time saver for users that would normally have to update a customer in two places.
- Report View Complete AR, sales, and product reports right inside of Act!
